About the Philanthropy Team
Our Philanthropy Team is responsible for raising income for Impetus and our partner charities through fundraising, events, donor engagement, and corporate partnerships. The team of 13 dedicated professionals also delivers a high-quality engagement programme of volunteering and pro bono opportunities for our corporate supporters.
The Opportunity
We are seeking a highly organised, proactive Team Administrator to join our busy and ambitious Philanthropy Team. This is an exciting and varied role, supporting donor engagement, corporate partnerships, events, volunteering programmes, and internal processes.
You will be central to keeping the team running smoothly—managing calendars, coordinating events, maintaining accurate CRM records (Salesforce), preparing donor communications, and assisting with research.
This role is ideal for someone with strong administrative experience in the charity sector, excellent attention to detail, and a passion for enabling fundraising teams to make a greater impact.
Key Responsibilities
Team & Administrative Support
- Manage calendars for the Philanthropy Team, including the Director of Philanthropy and Partnerships.
- Arrange external meetings for senior fundraisers.
- Provide on-site support at events (including two evenings and one weekend per year—TOIL provided).
- Draft internal and external content, such as newsletters, updates, and programme materials for funders.
- Manage incoming enquiries promptly and professionally.
- Maintain efficient processes for managing and recording fundraising activity in Salesforce.
- Book meeting rooms and support other administrative tasks as needed.
Salesforce CRM Management
- Serve as the point of contact for creating Salesforce reports to support fundraising activity.
- Log meeting notes and ensure effective follow-up.
- Maintain accurate and up-to-date donor records.
- Develop dashboards to track fundraising progress.
- Record and track pro bono and volunteering projects.
Donor Engagement & Research
- Assist with donor and prospect research.
- Support pro bono partnerships, including onboarding, inductions, and ongoing communications.
- Distribute supporter care materials and fundraising merchandise.
- Prepare presentations, templates, and donor communications.
- Proofread applications, reports, and communications.
- Write meeting briefs for senior colleagues ahead of donor engagements.
Person Specification
Essential Skills & Experience
- Proven administrative experience in the charity sector.
- Strong organisational skills with the ability to prioritise and meet deadlines.
- Experience processing donations and using financial management systems.
- Excellent written and verbal communication skills.
- Strong interpersonal skills, confident in dealing with stakeholders at all levels.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Salesforce or similar CRM experience (data entry, reporting, dashboards).
- High attention to detail and accuracy in maintaining records and systems.
- Ability to work both independently and collaboratively in a team.
